Set up after-hours AI call handling

Give callers a useful next step when your team is closed, an answer is missing or someone asks for a person.

Written for the current guided pilot. Business scenarios and sample prices are fictional. Review every example before using it.

STEP 1

Separate hours from promises

“We open at 9 a.m.” does not mean “Someone will call at 9 a.m.” Write only the response expectations your team can support. Check the business timezone and how any holiday change is applied before testing.

STEP 2

Explain who will act next

For the current request-taking flow, the team reviews the dashboard and contacts the caller. Choose who checks it and when. An urgency flag alone does not dispatch a technician or send an email.

STEP 3

Plan for a person or an unknown answer

If a caller asks for a person and a live transfer is not available, offer a callback request. If a fact is missing, say it is not confirmed and include the question for the team.

STEP 4

Handle frustration without a long script

Acknowledge the problem briefly, collect what happened and record the requested response. Do not promise a refund, waive a fee or confirm a repair unless the business has approved that action. Keep immediate danger separate from business urgency and use the approved emergency instructions.

“We will send someone as soon as possible.”

More useful

“The office is closed. I can take the problem, your location and a callback number for the team to review. I cannot confirm a visit tonight.”

Use this as a starting point. It does not change your saved settings.

What a useful result looks like

  • The caller’s request is captured clearly.
  • No arrival time or dispatch is invented.
  • The next step matches the approved after-hours policy.

If it does not work as expected

Replace vague promises with a specific description of what happens next. If nobody is monitoring the dashboard overnight, do not describe it as immediate assistance.

Check the saved request in your lead inbox as well as what you heard. Review recordings or transcripts only if they are enabled for your account.
