An evening enquiry, with a clear next step
Fictional example: a customer calls a plumbing business after closing about a dripping kitchen tap and asks for a visit tomorrow. The business has approved next-business-day follow-up, without promising a specific callback time.
The receptionist could say: “The office is closed for the evening. I can take the details for the team to review next business day. What is the best number to reach you?” It asks for relevant information one question at a time and keeps details the caller has already given.

After-hours or overflow answering: choose the right rule
After-hours answering handles calls routed to the receptionist when your office is closed. Overflow answering gives you a chance to answer first, then forwards unanswered calls. You can discuss either approach during guided setup.
These rules belong to your phone provider. Availability, schedules, ring duration, voicemail and forwarding charges depend on your service. We help configure and test the original business number; changing business hours in CallMinded does not automatically change your carrier’s routing.
Keep your number and existing phone service. Forwarding moves the voice call to your assigned destination; it does not transfer your SMS service.
Decide what callers should hear before going live
Clear expectations make an after-hours conversation useful. Avoid “someone will call shortly” unless your team can actually meet that commitment.
- Approve opening hours, timezone and any holiday exceptions.
- Choose the services, areas and prices the receptionist may explain, including exclusions.
- Specify the details to collect and the follow-up wording your team can support.
- Define how urgent requests should be handled. A flag in the dashboard does not alert or dispatch an on-call technician by itself.
- Assign someone to review requests and test both forwarding and the agreed fallback.
What stays with your team
Your staff confirm appointments, assess whether work fits your business and decide how urgently to respond. CallMinded does not currently book into a calendar, transfer callers to a live receptionist, dispatch technicians or text customers.
A recorded urgency label is not a promise of immediate assistance. Do not present this service as emergency coverage. Human guided setup means help configuring and testing your receptionist, not a person taking over each live call.
