When voicemail may be enough
Voicemail can be a sensible choice if call volume is low, most callers already know your business and you reliably return messages. You may not need another service when a short greeting and a consistent callback routine solve the problem.
Check what your provider already includes, such as transcription or caller-ID display. Those features vary. A caller-ID number is not always the caller’s preferred callback number, and withheld or incorrect caller information still needs care.
When conversational intake may help
Consider an AI receptionist when repeated questions interrupt work, messages often lack a service location or callers need to describe different types of requests. Approved answers and relevant follow-up questions can give your team a clearer starting point.
For a plumber, that might mean separating a visit-fee question from a request for a technician. For a salon, it might mean collecting the requested service and preferred time while leaving appointment confirmation with staff.
Voice recognition can make mistakes. Test names, numbers, interruptions and corrections, then check the saved request. A natural voice alone is not evidence that the information was captured correctly.
Compare using calls your business actually receives
Use fictional contact details while evaluating. Do not judge the result only by how friendly the conversation sounds.
- Prepare three common enquiries and the exact business facts needed to answer them.
- Try a normal request, a corrected callback number and a question with no approved answer.
- Check whether required information was collected without unnecessary repetition.
- Have the person responsible for follow-up read the result and identify the next action.
- Test your original phone number and fallback, not just the AI destination.
Include the follow-up work in your comparison
