Help the next person prepare
Your team needs to know what the caller reports, where the property is and how to reach them. Keep the description in the caller’s terms rather than guessing a diagnosis.
STEP 2
Prepare your business rules
Start with residential or commercial work, common repairs, excluded jobs, approved coverage and business hours. Add any assessment fee with its currency and conditions. Explain who reviews urgent requests.
- Which jobs do you take?
- Which locations are accepted, excluded or need review?
- What may the receptionist say about fees?
- Who checks requests when you are on a job or closed?
STEP 3
Ask only useful questions
Ask what is happening, the service location and a confirmed callback number. Collect requested timing without promising a visit. Do not turn intake into remote repair advice.

A common problem, a clearer setup.
The plumber misses calls on site and wants enough detail to decide which requests to return first.

“We cover the area and can come today.”
More useful
“We handle residential sink leaks and blocked drains in Raleigh and Cary. We do not take commercial jobs. The team reviews the problem and confirms availability and pricing. A same-day request is not a confirmed visit.”

If it does not work as expected
If a nearby city is substituted, repeat and spell the intended city during a test. Check coverage settings separately; recognising a city and approving coverage are different tasks.
Check the saved request in your lead inbox as well as what you heard. Review recordings or transcripts only if they are enabled for your account.
