STEP 1
Give the caller room to speak
Use the business name, explain that this is an AI receptionist and ask how you can help. Save the service list and policies for when the caller needs them.
STEP 2
Read it out loud
If it is awkward for you to say, shorten it. Avoid several questions in one greeting. Listen to the business name during a test call, especially if its pronunciation is unusual.
STEP 3
Be careful with closed-hours wording
Only say the team is closed when the call flow can correctly use your hours and timezone. Otherwise, use a general greeting and explain hours when asked. Opening hours are not a guaranteed callback time.
STEP 4
Test each enabled language
An English greeting might say “I’m your AI receptionist.” A French version could say “Je suis votre réceptionniste IA.” A Spanish version could say “Soy su recepcionista de inteligencia artificial.” Have a fluent speaker review the full greeting and test the conversation. Keep any required notices enabled.

What a useful result looks like
- The business name is easy to understand.
- The caller can speak without sitting through a long introduction.
- The receptionist answers the service question rather than restarting the greeting.
If it does not work as expected
If the introduction repeats, note when it happened and report it. Adding more greeting text will not fix a repeated-introduction problem.
Check the saved request in your lead inbox as well as what you heard. Review recordings or transcripts only if they are enabled for your account.
