How to set up your AI receptionist

Add the facts your receptionist needs, choose a useful next step and prepare a first call that sounds like your business.

Written for the current guided pilot. Business scenarios and sample prices are fictional. Review every example before using it.

STEP 1

Start with the calls you miss most

Choose one ordinary call: a price question, a repair request or a customer asking when you are open. You do not need to write down every possible situation before testing.

STEP 2

Prepare five basics

Open Business settings in your workspace. Use information your team can stand behind.

  • Your business name, opening hours and timezone.
  • Three services you offer, plus common jobs you do not take.
  • Prices you may share, including currency and conditions.
  • Your service area, if you travel to customers.
  • The details your team needs to return a call.

STEP 3

Keep the next step simple

For a callback, collect a name, confirmed callback number and reason for calling. Add a location or preferred time only when useful. A question about opening hours should not turn into a long form.

STEP 4

Make sure your changes are active

Save your draft, review it and activate it for new calls. A saved draft is not necessarily the version the receptionist uses. Finish an existing call and start a new one to test the new version.

Use this as a starting point. It does not change your saved settings.

“My bedroom door will not close. I’m in Calgary. Do you handle that, and can someone call me back?”

What a useful result looks like

  • The answer matches the listed service.
  • The request contains the problem and location without asking for them twice.
  • The callback number is confirmed and the next step is owner review.

If it does not work as expected

If the answer is vague, add one clear service description. If the facts are wrong, check the active settings before adding more instructions.

Check the saved request in your lead inbox as well as what you heard. Review recordings or transcripts only if they are enabled for your account.
