Work backwards from the callback
Ask what your team needs to do next. A repair request may need a location and problem description. A salon request may need a service and preferred day. An opening-hours question may need no personal details.
STEP 2
Use information already given
If the caller has already said the service, city and preferred day, the next question should fill a gap. Repeating every question makes the caller feel unheard.
STEP 3
Confirm important details
Confirm the callback number, especially if it differs from caller ID. If a name or city is unclear, ask the caller to repeat or spell it. Do not guess a nearby city. Collect email only when it helps the next step; collecting it does not send a confirmation.
STEP 4
Check the final version
Callers change their minds. If they change Tuesday to Thursday, the saved request should show Thursday clearly. Keep booking preferences separate from a confirmed appointment.

More useful
“Collect cleaning type, property size, city and preferred date. Use details the caller has already given. Ask one question at a time for anything missing, then confirm the callback number.”

What a useful result looks like
- Move-out cleaning, two bedrooms and Denver are retained.
- Thursday replaces Tuesday as the preferred date.
- The team receives a request to review, not an invented booking.
If it does not work as expected
Remove questions that do not affect the next step. If a correction is still lost, keep the call time and the exact correction so support can investigate.
