STEP 1
Collect what changes the quote
Start with cleaning type, property size, location and preferred date. Ask whether it is a one-time or recurring service. Only add further questions if they change the quote or whether you accept the job.
STEP 2
Make exclusions easy to explain
Separate regular, deep and move-out cleaning. State whether you accept commercial work, post-construction cleaning or carpet shampooing. Use your approved policy for supplies and pets.
STEP 3
Leave sensitive access details for later
A first enquiry does not need a door code or alarm code. Arrange those through your normal process after the job is confirmed. Do not ask callers to share them in a test.
FICTIONAL EXAMPLE · Denver, Colorado · residential cleaning
A common problem, a clearer setup.
The owner spends every callback asking for basic details before they can prepare a quote.
Too vague
“We clean everything. Ask them to call back.”
More useful
“We offer regular and move-out residential cleaning in Denver. Quotes depend on property size and condition. Post-construction work is not offered. Collect cleaning type, property size, preferred date and callback details for review.”
Use this as a starting point. It does not change your saved settings.
YOUR NEXT TEST CALL
Say this. Then check what happened.
“I need a move-out clean for a two-bedroom apartment in Denver next Thursday. How much will it cost?”
What a useful result looks like
- The type of clean, size, city and preferred date are kept.
- The quote process is explained without inventing a price.
- The team can return the call with useful context.
If it does not work as expected
If the receptionist asks for details twice, check for a rigid question list. For a Vancouver business, replace coverage and pricing with that business’s approved information before using this example.
Check the saved request in your lead inbox as well as what you heard. Review recordings or transcripts only if they are enabled for your account.
Put one improvement into practice.
