AI receptionist setup checklist for hair salons

Answer service and price questions, capture stylist preferences and avoid confusing an appointment request with a booking.

Written for the current guided pilot. Business scenarios and sample prices are fictional. Review every example before using it.

STEP 1

Answer the questions callers ask first

List cuts, colour and styling separately. Explain which services need a consultation, what a starting price includes and whether stylist or hair-length choices change it. Add your location, parking and walk-in policy if useful.

STEP 2

Collect appointment preferences

Ask for the service, preferred day or time, stylist preference and callback details. The current request-taking flow gives the salon a request to review; it does not check a live calendar or confirm a slot.

STEP 3

Treat changes as requests too

Without a connected appointment record, collect a cancellation or rescheduling request. Do not claim an appointment changed or a fee was waived. Explain approved cancellation and deposit policies only when relevant.

FICTIONAL EXAMPLE · Ottawa, Ontario · hair salon

A common problem, a clearer setup.

A client assumes giving a stylist and time means their appointment is booked.

Too vague

“Book callers with their preferred stylist.”

More useful

“For colour and cut requests, record the service, preferred stylist and day. The salon checks availability and confirms the appointment. A colour change may need a consultation first.”

Use this as a starting point. It does not change your saved settings.

YOUR NEXT TEST CALL

Say this. Then check what happened.

“I’d like a root touch-up and cut with Maya on Friday afternoon. Am I booked?”

What a useful result looks like

  • Both services, Maya and Friday afternoon appear in the request.
  • The answer explains that the salon still needs to confirm.
  • No slot or deposit payment is invented.

If it does not work as expected

Write the confirmation step next to the appointment questions. For a nail salon in Toronto, adapt the same approach to gel removal, a new set and preferred nail technician; do not reuse hair-service questions.

Check the saved request in your lead inbox as well as what you heard. Review recordings or transcripts only if they are enabled for your account.
