The practical answer

An AI receptionist for hair salons can answer approved service questions and collect appointment requests while stylists are with clients. The goal is to give the caller a helpful next step without interrupting the person already in the chair.

Good salon intake begins with the service. “Saturday at two” is incomplete if staff do not know whether the caller wants a cut, styling, a colour consultation or a combined service. Those requests may require different durations, professionals and approval steps.

Decide which salon calls need coverage

Start with a small set of ordinary calls: opening-hours questions, service enquiries and new appointment requests. Add cancellation or existing-booking workflows only after defining what the assistant can actually verify or change.

Taking a message about a cancellation does not cancel an appointment in a salon calendar. A caller asking to move an existing booking should hear the approved next step, with staff responsible for checking and confirming any change.

Keep a haircut request short

For a straightforward request, ask for the desired service, preferred stylist if relevant, preferred day or time window, name and callback number. If the caller has already supplied the service and timing, build on that information.

Fictional example: “I can collect an appointment request for the salon. Is there a stylist you would prefer?”

After confirming the necessary details, recap the request and explain that staff will confirm availability. Do not describe a preferred time as a reservation.

Give colour enquiries a different next step

A colour request may need a consultation or staff assessment before a service duration or final price can be confirmed. The assistant can collect the caller’s requested service and apply the salon’s approved consultation policy. It should not diagnose hair condition or recommend a treatment from general knowledge.

If the caller asks whether a dramatic colour change can be completed in one visit, collect the question for a stylist. Avoid promising a result, duration or technique that a professional has not assessed.

A salon call with a correction

This fictional scenario tests whether the assistant preserves changes rather than following a rigid script.

Caller: “I’d like a colour and cut with Maya on Friday. Actually, Saturday would be better.”

Josie: “I’ve noted Saturday as your preference, with Maya requested. I can collect the details for the salon to review.”

Caller: “Do I need a consultation first?”

Josie: “I can record that question for the salon, or explain the consultation policy if it is included in our approved information.”

In your own configuration, supply the actual consultation policy so the answer is useful and specific. A missing policy should remain a staff question; the system should not fill the gap with a guess.

The saved handoff should say colour and cut requested, Maya preferred, Saturday preferred, consultation question pending and contact confirmed. It should not say “Saturday appointment booked.”

Keep the price and its conditions together

If a cut has a starting price that varies by stylist or service requirements, keep those conditions beside the price. State the currency your salon uses. CallMinded subscription currency does not determine the currency of your salon’s services.

Do not reuse a haircut price for a combined colour-and-cut request. Staff should confirm an unlisted combination, expired offer or question that needs an assessment. Read the services and pricing preparation guide for a practical format.

Customize the receptionist around your salon

  • Services you offer and enquiries you want staff to review.
  • Opening hours, holiday exceptions and timezone.
  • Approved starting prices, inclusions and exclusions.
  • Stylist preferences and how requests are passed to the front desk.
  • Consultation, cancellation and booking policies your staff have approved.
  • A closing message that explains who confirms the appointment.

Keep an opening-hours question conversational and brief. Avoid collecting personal contact details when the caller only needs information that can be answered immediately.

Prepare a handoff the front desk can use

Choose who reviews new requests and how quickly they are checked during working hours. Staff should confirm the service, duration, stylist and available time before giving the caller a booking confirmation. Overnight requests need a morning owner as well.

For an existing customer’s change request, preserve what they asked without implying a calendar action occurred. Record whether staff contacted the caller, confirmed a slot or still need more information.

Test the details, not only the voice

  1. Ask about a service outside your approved menu.
  2. Change Friday to Saturday halfway through the call.
  3. Correct a callback number and inspect the final value.
  4. Ask whether colour is included in a haircut starting price.
  5. Request a stylist whose availability has not been confirmed.
  6. Test the original salon number and fallback before forwarding customer calls.

Use the salon receptionist setup checklist to prepare the business information. Then evaluate the saved requests using the AI receptionist trial scorecard.

Where CallMinded fits

Josie can use approved salon information, answer questions and capture appointment requests for staff. CallMinded does not currently confirm calendar bookings or provide live transfers. Start with one call type and approve the handoff before expanding coverage.

Common questions

Can Josie book directly into my salon calendar?

Not currently. CallMinded collects appointment requests for staff confirmation. Scheduling integration is planned.

Can it capture a preferred stylist?

You can include stylist preferences in your approved intake. The preference still needs staff availability checks.

Can it help after closing?

It can answer approved questions and collect requests when the configured call path reaches it. Use an honest closed-hours message and a clear morning follow-up process.
